How to Make an Invoice (What to Include, Step by Step, With an Example)
How to make an invoice: the details every invoice needs, a step-by-step process, invoice numbering, payment terms like Net 30, a worked example, and common mistakes that delay payment.
How do you make an invoice? Put your business name and contact details at the top, then the client's details. Add a unique invoice number, the issue date, and the due date. List each product or service as a line item with quantity, rate, and amount. Show the subtotal, any tax, and the total due. End with payment terms and clear instructions for how to pay. Send it as a PDF.
An invoice is a request for payment. Its job is to make paying you easy. A client who has to email back to ask "which project is this?" or "what is your bank account?" pays later. A clear invoice answers every question before it is asked.
This guide covers what to include, how to make one step by step, how to number invoices, and what to write in the payment terms. If you want a finished layout, the free invoice template has every field below.
What to include on an invoice
| Field | Example | Why it matters |
|---|---|---|
| Your business name and contact details | Maya Okafor Studio, address, email, phone | The client knows who billed them |
| Client name and address | Westbrook Media Group, Attn: Jordan Ellis | Gets the invoice to the right person |
| The word "Invoice" | Invoice | Separates it from a quote or estimate |
| Invoice number | INV-2024-047 | Tracking and payment references |
| Issue date | 3 March 2025 | Starts the payment term |
| Due date | 2 April 2025 | Removes guesswork |
| Line items | Description, quantity, rate, amount | Shows what the client pays for |
| Subtotal, tax, total | $5,050.00 + tax = $5,498.19 | The amount owed |
| Payment terms | Net 30, late fee policy | Sets expectations |
| Payment methods | Bank transfer, PayPal, check | Tells the client how to pay |
Depending on where you work, you may also need a tax registration number (for example a VAT or GST number), the client's tax number, or a specific tax breakdown. The rules differ by country and state. Check local law or ask an accountant before you send your first invoice.
Line items
Write each line so that someone in the client's finance team, who never saw the project, can approve it. "Design work" is vague. "Brand style guide, print-ready PDF, 24 pages" is clear. Give a quantity and a rate for each line, even when the quantity is 1. Extra work, such as additional revision rounds or a rush fee, belongs on its own line.
Payment terms
Payment terms tell the client when the money is due. Common terms:
- Due on receipt: pay now. Common for small jobs and one-off sales.
- Net 15 / Net 30 / Net 60: pay within 15, 30, or 60 days of the invoice date. Net 30 is a common default for business clients.
- Deposit and balance: for example, 50% up front and 50% on delivery. Common for larger projects.
- Milestone billing: you bill the project by stage or phase. A milestone invoice lists each phase as its own line item.
If you charge a late fee, state it on the invoice, and make sure it was in your contract. Limits on late fees differ by location, so check local rules.
How to make an invoice, step by step
- Check the agreement. Look at the quote, proposal, or contract. The invoice should match the agreed price and scope. If you sent a quote first, use it as the source for the line items.
- Add your details and the client's. Use the client's legal business name. Ask who should receive invoices. In larger companies, it is often accounts payable, not your project contact.
- Give it a unique number. Use a sequence you can keep, such as INV-2025-001, INV-2025-002. Never reuse a number.
- Set the dates. Add the issue date and a clear due date. "Due 2 April 2025" is clearer than "Net 30" alone, so use both.
- List the line items. Description, quantity, rate, amount. Add any purchase order (PO) number the client gave you. Some finance teams cannot pay without it.
- Calculate the totals. Subtotal, discounts, tax at the correct rate, and the total due. Check the math twice.
- Add payment instructions. Bank details, payment link, or who to make a check payable to. Ask the client to quote the invoice number with the payment.
- Export it as a PDF and send it. A PDF looks the same on every device and cannot be changed by accident. Name the file with the invoice number, for example
INV-2024-047-Maya-Okafor-Studio.pdf. - Track it. Record the invoice in a spreadsheet or accounting tool. Follow up politely a few days before the due date and again on the day after.

Whether sales tax applies to a service like design depends on the state or country. The tax line here is part of the example, not a rule.
Common invoice mistakes
- No due date. "Payment due" with no date means "whenever". Always give a date.
- Vague line items. These get queried, and a queried invoice waits in a queue.
- Wrong recipient. Your project contact may not pay invoices. Ask who does.
- Missing PO number. Many larger clients reject invoices without one.
- Duplicate or skipped numbers. These confuse your own records and your accountant.
- Payment details hidden or missing. Put them on the invoice itself, not in a separate email.
- Sending an editable file. A Word or spreadsheet file can be changed and may look different on the client's screen. Send a PDF. For more, see how to go from Word or Google Docs to a professional PDF.
Which invoice format should you use?
A one-page invoice is right for most work. Pick the layout that fits how you bill:
- Freelancers and studios: the invoice template with line items, tax, and payment methods.
- Shops and local businesses: the small business invoice, built for product sales, with quantities and a returns line.
- Long projects: the milestone invoice, which bills each project phase as a separate line.
You can compare every layout in all invoice and billing templates. A clean design is not decoration here. A clear total and a visible due date help the client's finance team process it faster. The guide on how to design a professional PDF covers the basics of layout and hierarchy.

FAQ
Can I make an invoice if I am not a registered business?
In many places, yes. Freelancers and sole traders often invoice under their own name. You may still need to report the income and, above some thresholds, register for tax. Check local law.
What is the difference between an invoice and a receipt?
An invoice asks for payment. A receipt confirms that payment was received. You send the invoice first, and a receipt (or a "Paid" invoice) after the money arrives.
What is the difference between a quote and an invoice?
A quote is a price offer before the work starts. The client can accept or reject it. An invoice requests payment for work that was agreed or delivered.
How should I number my invoices?
Use one sequential format and never reuse a number. A year prefix such as INV-2025-001 keeps the sequence readable and resets cleanly each year. Some countries have rules on invoice numbering, so check local requirements.
